Venue Replaces Printed Access Badges with Wallet Passes

The challenge

A co-working and events venue printed paper access badges for day visitors and event guests. The process took 2–3 minutes per person, created paper waste, and if a booking was cancelled staff had no way to invalidate a badge already in circulation.

The solution

Passinstance issued a Wallet access pass with each booking confirmation. The pass contained the visitor’s name, access date, and a QR code. At the door, staff scanned the QR with the Passinstance scanner app. The dashboard let admin void a pass instantly if a booking was cancelled.

What changed

Visitors arrived with their pass ready in Apple Wallet or Google Wallet. No badge printing, no queue at reception, no paper waste. Cancelled passes were voided before the person arrived.
